Mobile App Privacy Policy

This policy applies to the Vedic Gurukul Parent app and the Vedic Gurukul Driver app (together, "the apps"), operated by Vedic Gurukul School, a unit of the Vedic Yog Peeth Trust, Kolkata, India. It supplements the school's general Privacy Policy. The apps are for parents/guardians and school transport drivers whose accounts were created by the school. The apps are not intended for children, and no one can create an account from inside the apps. VEDIC GURUKUL PARENT APP Information the app handles: - Account details: your email address and password (the password is stored only as a one-way hash on the school's server) and the sign-in token kept securely on your phone. - Your child's school records shown to you: profile, class, attendance, homework and learning activities, progress and report information, fees and receipts, notices, events, messages with school staff, leave applications, and transport details (vehicle, route, driver name/phone, pickup and drop points). - Content you choose to send: messages, leave applications, and files, photos, or videos you attach to homework or activity submissions. - Live bus location: the app shows where your child's school vehicle is while the driver is sharing it. Your own phone's location is not collected by the Parent app. VEDIC GURUKUL DRIVER APP Information the app handles: - Account details: your email address and password (stored only as a one-way hash on the school's server) and the sign-in token kept securely on your phone. - Your assigned vehicle, route, and the list of students on it (names, class, pickup/drop points, guardian name and phone number so you can contact them). - Precise location: when you tap Start to share a trip, the app collects your phone's precise location, including while the app is in the background or the screen is locked, and sends it to the school's server. A notification stays visible while sharing is on. Collection stops when you tap Stop. Only the most recent position is kept on our server (it is overwritten by each new update); we do not store a history of past locations. HOW WE USE INFORMATION - To show parents their child's school information and let them communicate with the school. - To show parents the live position of the school vehicle and to send them an in-app notification when a trip starts. - To operate the school's transport service. We do not use your information for advertising, we do not sell it, and the apps contain no advertising or third-party analytics tools. SHARING Parent information is visible only to authorised school staff for the child's branch. A driver's live location is shown only to the parents/guardians of students assigned to that vehicle and to authorised school staff. Map images are loaded from CARTO / OpenStreetMap tile servers, which receive your device's IP address and the map area requested, as with any web map. We do not otherwise share personal information with third parties, except where required by law. SECURITY All communication between the apps and the school's server is encrypted (HTTPS). Sign-in tokens are stored in the phone's secure storage, and access is limited by role. RETENTION AND DELETION Student and parent records are kept for as long as the child is enrolled and as required for school records and applicable law. A driver's last known location is overwritten on each update. You can ask us to delete your app account and the personal information associated with it at any time: use "Request account deletion" inside the app, or email info@vedicgurukulschool.org from your registered email address with the subject "Account and data deletion request". We will confirm and complete the request within 30 days, except for records the school is legally required or has a legitimate need to retain (for example fee and academic records), which we will tell you about. PERMISSIONS - Parent app: Internet access only. It asks for access to your files/photos only when you choose to attach something. - Driver app: Location (precise) and notifications, used only to share your trip as described above; a foreground service keeps sharing running when the screen is off. CHILDREN The apps are used by adults. Information about students is provided to the school by their parents/guardians and is used only for education and school operations.
